The Role

We are seeking a dedicated Administrative Support Specialist to provide and oversee administrative support within our Service and across the organization when necessary. This role is pivotal in ensuring the smooth and effective running of our office, establishing and maintaining systems, and liaising with customers regarding service delivery and financial matters.

Location: Fawcett House Foster Rd, Trumpington, Cambridge CB2 9NL/ HYBRID

Duration of assignment: up to 3 months (sickness cover)

Working hours: 37 hours Monday-Friday

Tasks

Key Accountabilities:

1. BUSINESS DELIVERY

  • Undertake daily tasks as directed by the service.
  • Provide flexible cover for other services when needed.
  • Adhere to business processes to ensure a consistent, quality service.
  • Share best practices and support changes impacting the Business Support workforce.
  • Maintain system security and confidentiality in line with County Council policies and relevant legislation.

2. CUSTOMER SERVICE

  • Proactively handle, provide solutions, and direct incoming communication.
  • Resolve customer inquiries, escalating complex matters when necessary.
  • Support and advise teams, imparting knowledge and expertise.
  • Support cultural change within Business Support.

3. TEAM SUPPORT

  • Organize, coordinate, and minute meetings as needed.
  • Support service/team initiatives, events, and activities.
  • Gather and analyze data as requested.
  • Report to the SBO on business-related issues.
  • Facilitate the service induction process and manage bookings for the team.

4. COMMUNICATION

  • Clearly and appropriately convey messages.
  • Attend team/service meetings and collaborate with key partners like LGSS and PCC.

5. FINANCIAL SUPPORT

  • Manage all financial activities within the service area.
  • Reconcile spends, adhere to CCC financial policies, and forecast year-end expenditure.
  • Promote cost-effective spending in line with Council Budget requirements.

6. GENERAL

  • Support audits, inspections, reviews, and new operating systems.
  • Advise on matters relating to the job, section, or directorate.
  • Work across the directorate as needed and possess the ability to travel.
