Key Responsibilities:
- Lead venue sourcing, contracting & meeting planning for events across APAC, Middle East, and Europe
- Strong financial management skills responsible for developing and updating detailed budgets on each event, reconciling bills and reporting on overall event expense
- Vendor management inclusive of audio visual, venue, F&B, staging, travel, and furniture rentals. Maintain relationships with key stakeholders and negotiate the best available price for services.
- Ability to map out venue market in key cities through RFPs and follow up with venues over the phone
- Negotiate variances in contracts (i.e., attrition clauses or cancellation and re-booking with venues and vendors)
- Manage internal calls inclusive of venue updates and conference debrief meetings, and report on meeting highlights
- Ensure event equipment is maintained in a professional manner, ordering supplies and any required equipment, arranging any required repairs or maintenance, organizing event supplies and leading the packing and unpacking process on each event.
- Manage travel approvals and hotel reservation management for on-site team
- Ability to travel to on site events up to 5% of the time preferred but not required
